The Toshiba e-STUDIO series multifunction printers are equipped with a variety of features, including the ability to scan documents directly to a network folder. This feature is particularly useful for businesses and organizations that need to archive or share scanned documents efficiently. Follow these steps to configure the “Scan to Network Folder” function.

Step 1: Prepare Your Network Folder

Before configuring the printer, ensure that your network folder is set up correctly:

  1. Create a Network Folder:
  • On your computer or server, create a folder where you want to store the scanned documents.
  • Share the folder on the network and set appropriate permissions to allow access from the Toshiba e-STUDIO printer.
  1. Note the Folder Path:
  • Record the full network path of the shared folder (e.g., \\servername\sharedfolder).
  1. Check Network Permissions:
  • Ensure the user account that will be used by the printer has read and write permissions to the network folder.

Step 2: Configure Network Settings on the Printer

You need to configure the network settings on the Toshiba e-STUDIO printer to ensure it can communicate with the network folder:

  1. Access the Printer’s Web Interface:
  • Find the printer’s IP address by printing a configuration page from the printer’s control panel.
  • Enter the IP address into a web browser to access the printer’s web management interface.
  1. Log In to the Administrator Mode:
  • Enter the administrator credentials. The default username is usually admin, and the default password may be 12345678 or 00000000, unless changed.
  1. Navigate to Network Settings:
  • Go to Device Management or Administration settings.
  • Select Network settings and verify that the printer is connected to your network.

Step 3: Configure the Scan to Network Folder Settings

  1. Go to Scan Settings:
  • In the web management interface, navigate to Scan settings.
  • Select Network Folder or Scan to SMB settings.
  1. Add a New Network Folder:
  • Click on Add or Register to create a new network folder entry.
  • Enter the following details:
    • Folder Name: A descriptive name for the network folder (e.g., Scans).
    • Path: The full network path of the shared folder (e.g., \\servername\sharedfolder).
    • User Name: The username that has access to the network folder.
    • Password: The password for the user account.
  • Authentication: Choose the appropriate authentication method if required (e.g., NTLM or Kerberos).
  1. Set Default Settings (Optional):
  • You can configure default settings for scan resolution, file format (PDF, JPEG, etc.), and other options.
  1. Test the Configuration:
  • Click Test or Save to verify the connection to the network folder.
  • If the test is successful, the printer can communicate with the network folder.

Step 4: Configure the Printer’s Control Panel

  1. Access the Control Panel:
  • On the Toshiba e-STUDIO printer’s control panel, press the Scan button.
  1. Select Network Folder:
  • Choose Network Folder or Scan to SMB from the available options.
  1. Add the Network Folder:
  • Select the network folder you configured earlier or add a new one if needed.
  1. Set as Default (Optional):
  • Set the network folder as the default destination for scans if you prefer.

Step 5: Perform a Test Scan

  1. Place a Document:
  • Load a document into the printer’s scanner.
  1. Initiate the Scan:
  • On the printer’s control panel, select Scan to Network Folder.
  • Choose the folder you set up and start the scanning process.
  1. Verify the Scan:
  • Check the network folder to ensure the document has been successfully scanned and saved.
